What creator onboarding includes
Creator onboarding is the set of steps between a creator agreeing to work with a brand and starting to film. It usually covers signing the agreement, collecting tax and payment details, shipping product, sharing the brief and brand references, setting up how files will be delivered, and confirming deadlines. Done well, it takes days, not weeks, and happens once per creator.
It follows creator outreach and is separate from each job's creator brief. The brief changes every campaign; onboarding material, such as brand guidelines, delivery specs and the payment process, stays the same and goes once to every creator who joins a recurring roster.
How brands run it
Bundle it. One welcome email with the contract link, a payment form, a shipping address request and a short guide to brand dos and don'ts beats six separate messages. Brands paying creators in other countries should collect payment details early, because international transfers are the step most likely to stall.
Then ship product with tracking and tell the creator the day it lands. A late parcel is a frequent reason a first video misses its deadline, since the creator cannot start until the box arrives. The UGC contract guide covers what the agreement at the top of the packet should include.
Example onboarding packet
A skincare brand building a roster of twelve creators sends each one: the agreement for e-signature, a payment and tax form, a two-page guide with banned claims and product handling rules, delivery specs (vertical, separate clips, no music), a shared upload folder, and the name of one contact for questions.
Product ships the day the contract is signed. The first brief follows when tracking shows delivery, so no creator holds a brief for a product they do not yet have.
Common mistakes
Repeating onboarding for every job. Once a creator is on the roster, store their details, signed master agreement and preferences so the next job is a brief and a purchase order, nothing more.
Skipping the delivery specs. If no one says how files should arrive, they come as compressed messaging app videos with captions burned in, which are hard to reuse as ads. Ask for original files, one clip per shot, without music or text.
How it's used
Onboarding packet for the new roster is ready: contract, payment form, brand guide, delivery specs and the upload folder link.
Hold the brief until her parcel shows delivered. Onboarding is not done until the product is in her hands.
